Rhodes>Research Gateway>Ethics>Permission to conduct research at RU

After the applicant(s) has/have been granted conditional ethical approval for their study by RUESC/RUEAREC, the Ethics Coordinator will communicate the result to the applicant(s) via an official letter. If the potential sample populations are affiliated with Rhodes University, then the onus is then on the applicant to contact the Rhodes University gatekeeper(s) to obtain gatekeeper permission. These gatekeepers are referred to as internal gatekeepers in further text of this SOP and they are as follows:

-  If the potential sample population are Rhodes University staff, whether permanent or contractual and whether academic or support, the internal gatekeeper permission is the Director of the Human Resources Division of Rhodes University. Gatekeeper permission from this internal gatekeeper should be requested via email to hr+gatekeeper@ru.ac.za.

- If the potential sample population are Rhodes University students, whether undergraduate or postgraduate and/or defined in section 2 of the Rhodes University student disciplinary code, the internal gatekeeper permission is the Registrar of Rhodes University. This internal gatekeeper should be contacted at registrar@ru.ac.za.

- If the potential sample population are Rhodes University students, whether undergraduate or postgraduate and/or defined in section 2 of the Rhodes University student disciplinary code, the internal gatekeeper is the Registrar of Rhodes University. However, additional internal gatekeeper permission must be obtained from the Director of Student Affairs, if the potential sample population might be in relation to the activities of the Rhodes University Counselling Centre. Director of Student Affairs must be contacted at pakiso.tondi@ru.ac.za,.

Once the gatekeeper permission has been granted by internal gatekeeper(s), the applicant must forward the respective letter, on official letterhead of Rhodes University and with the internal gatekeeper signature, to the Ethics Coordinator. Upon receipt of the letter from the internal gatekeeper granting the gatekeeper permission, the Ethics Coordinator will issue the final ethical approval letter and email it to the applicant(s). The final approval of the study for the particular study must be placed on the agenda for the next meeting of RUESC/RUAREC for noting. Once the applicant(s) has/have received the final approval letter from the Ethics Coordinator, the final ethical clearance is considered granted and the project activities can begin.
